As simple as possible!
The law on mandatory time tracking leaves a lot up to interpretation. That's why we've boiled it down to 4 points to help you comply with the new rules.
- It is sufficient to record working hours per day without specifying the start and end time.
- It is sufficient to have the hours pre-registered and then only register any deviations.
- It must be noted if the 11 hour rule has been violated
- Employees must have access to their own records.
- Records must be stored for a minimum of 5 years.
The above are the minimum requirements and the way we see the law being handled in the easiest way possible.
Time2people can be used in two ways:
- Employees register their daily working hours against their standard working week according to their contract - e.g. 37 hours. Employees log in to 2people and click "add new activity" and select "Working hours". The employee then enters the number of hours the employee has worked that day - e.g. 7.4 hours and press "save". The registration is now complete and the company can approve.
2. The company can choose for the system to have pre-filled the employees' daily working hours against their standard working week according to their contract - e.g. 37 hours. Then the employees and the company only need to approve that this is correct once a week. Otherwise, registrations should only be made if there have been deviations from the employee's working week, for example. In the form of illness or vacation.
When supervising
We do not yet know to what extent compliance with this law will be monitored. However, the Danish Working Environment Authority oversees the existing rules in the area regarding rest periods and days off, so it is expected that they will also check that the new law is also complied with.
During audits, a time activity report can easily be created that can show time registrations during the period the audit relates to. This report can be extracted in Excel and CSV.
Ambitions for more with time tracking?
Our time tracking module can also be used by employees to register/request vacation. You can set it up so that a manager/administrator must approve the vacation before it is registered. When starting up the module, employees enter their current remaining vacation, and then the system keeps track of their vacation balance itself. It is also possible to work with flex time and with extra vacation days/holiday breaks.
What benefits can you gain
If this is the first time you're registering working hours, consider whether you want to actively use the new employee working time information and reap the benefits.
- When your employees register their working hours, it gives you a much better overview of your resources and whether you have the right staffing levels.
- It provides transparency for the company, manager and employee. This helps you avoid disputes over overtime.
- This can contribute to a healthy dialog between company/manager and employee. Does the individual employee have a good work-life balance or should some stress prevention measures be taken.
- You also get access to an easy overview of vacation requests so you can easily plan vacation periods.
When you choose Time 2people as your time tracking system, you have already taken your first step towards an HR solution. This means that you can easily supplement your time tracking module with additional modules if you, for example HR system for storing employee master data, recruitment, employee development, whistleblowing, and much more.
