And once you've found the right candidate, you may also need help storing their documents and master data - even after the consent you received in the recruitment process has expired. That way, you don't have to physically store data in a filing cabinet or in folders on a drive.

2. What data do you need during and after the recruitment process?
Processes containing sensitive personal data MUST be handled securely and in line with GDPR.
Most recruitment systems allow your candidates to fill out an application form on your website, which forms the data basis for the candidates and your work with them during the recruitment process and during employment.
When hiring a new employee, you may also want to obtain additional data such as social security number, information about next of kin, account number, criminal record, etc. This is often a task that is handled manually by requesting the information by email or receiving it physically on a piece of paper.
Then they need to be entered into various systems or shared with relevant people. The risk of making mistakes in these cases is high. A study from the Danish Data Protection Agency shows that 52% of all reported breaches of GDPR legislation are real data shared with the wrong recipient.
In a good recruitment system, you can automatically collect additional data via an encrypted link in an email. Before the email is sent, you check the checkboxes for the data you want to collect, such as social security number, bank details, etc. and the future employee fills in the data via a form. The data is then automatically updated on the employee's profile in the system, where people with the right rights have access to view it.

3. Which manual processes are important to automate and systemize?
Pre- and onboarding are inextricably linked to the recruitment process. It's in these processes that you prepare everything for the new employee's first day and give them the best start to their new employment. You need to consider whether your recruitment system should also be able to support you in these processes.
A pre-boarding usually consists of a lot of practical tasks: creating an employment contract and sending it for digital signature, setting up system access and new equipment for employees, preparing office space, work clothes, parking permits, keys, etc.
All of these tasks are performed by different people in your company, and a good HR system should be able to notify those responsible for each task about the scope of the task, deadlines, etc. That way you don't have to manually send tasks around the house and follow up on them.
When onboarding an employee, there are also a wide range of initiatives to get the employee off to a good start. These include breakfast on the first day, tours of the company, peer-to-peer training, interviews, follow-ups, tests, etc. In the same way as during pre-boarding, a good recruitment system can support your onboarding process so that it is automated and professional.
